1. Who handles your data
PT Black Sands Management, trading as Black Sands Villas, a villa management company registered in Indonesia.

2. What we collect
When you send an enquiry through this site:
- your name
- your email address
- your phone or WhatsApp number, if you give one
- the villa, your arrival and departure dates and the number of guests
- anything you write in the message field
When you write to us on WhatsApp or by email: your number or email address and the content of the conversation.
Automatically: our hosting provider keeps technical access logs — IP address, browser type, date and time. We use these only to run and protect the site.
We do not take payment details through this site, and we do not ask for identity documents before a booking is confirmed. Once a booking is made, Indonesian guest registration rules require us to collect passport details.
3. Why we use it
- to answer your enquiry and confirm whether your dates are free
- to agree the terms of your stay and prepare the villa for your arrival
- to stay in touch before, during and after your stay
- to meet legal obligations — guest registration, tax and accounting records
We rely on your consent, given when you send us an enquiry, and on the need to perform the rental agreement. We do not use your data for advertising and we do not pass it to anyone for marketing purposes.
4. Who we share it with
We do not sell your data. We share it only in these cases:
- WhatsApp (Meta Platforms). The enquiry button opens a conversation in WhatsApp. Your number and the message are processed by WhatsApp under its own policy.
- Google. We use Gmail for correspondence and Google Sheets to track which dates are taken. The availability sheet contains villa codes and dates only — no guest names. The site's typefaces load from Google Fonts, which means Google can see your IP address when the page opens.
- Our hosting provider, which keeps the technical access logs described above.
- Villa owners and our own staff, only as far as needed to prepare and clean the house for your stay.
- Indonesian authorities, where the law requires it.
Some of these services are located outside Indonesia. By sending us your details you agree to that transfer.
5. How long we keep it
Correspondence and booking records are kept for as long as we are working with you and for the period required by Indonesian tax law. Enquiries that do not become bookings are kept for no longer than twelve months. We will delete your data sooner on request, unless the law requires us to keep it.
6. Your rights
- ask what data we hold about you and receive a copy of it
- have inaccurate data corrected
- ask us to delete your data
- withdraw your consent to processing
- complain to the data protection authority
Write to black.sands.villas@gmail.com and we will reply within thirty days. We may ask you to confirm your identity before we act on a request.
7. Cookies and analytics
This site sets no cookies of its own and stores nothing in your browser unless you allow it.
If analytics are switched on, a notice appears at the bottom of the screen before anything is loaded. Only if you accept do we load Google Analytics, which tells us how many people visit and which pages they open, and Microsoft Clarity, which shows anonymised heatmaps of where visitors click and how far they scroll. Both set cookies. Neither records what you type into the enquiry form.
If you decline, nothing is loaded and no cookies are set. You can change your mind by clearing your browser data for this site.
Third-party content that loads while you browse: Google Fonts on every page, and the YouTube or Vimeo player on a villa page — but only after you press play on a video tour.
8. Security
Only the people who need booking information to do their work have access to it. The site itself stores no data: your enquiry goes straight to our WhatsApp or our email inbox.
9. Children
This site and our services are intended for adults. We do not knowingly collect data about children. Where children travel with their parents, we receive only the details their parents give us when booking.
10. Changes
We may update this policy. The date of the most recent change is shown at the top of this page.
